Billing and plan changes

You buy and change each website's plan yourself, in Plan & billing. Money comes from your AdPix Pay wallet, every change shows you exactly what is due today before it happens, and a downgrade or cancellation can be undone until the paid period ends.

Where it is and who can use it#

In Admin, under the Website group, open Plan & billing — the direct link is /admin?sel=billing. Everything in this pane applies to the active website only, the one selected in the picker at the top of the console.

The plan belongs to the website, not to the organization and not to a user. Each website has its own subscription, trial and invoices; three websites means three separate subscriptions.

Seeing this pane and doing anything in it takes Website admin or higher. A few other places lead to it: the plan badge at the top of the console, the Upgrade plan button on the upgrade card of a locked feature, and Go to billing on the checkout return page.

Two states replace the usual pane:

What you see What it means
Billing is not set up This deployment has no AdPix Pay gateway configured. Plans are assigned by an administrator and nothing is sold here.
This plan was set by AdPix An AdPix administrator assigned this website's plan by hand. While that stands, plans cannot be bought or changed here.

Plans and prices#

Plan How you get it
AdPix Free every website's default; costs nothing
AdPix Starter bought in this pane, monthly or yearly
AdPix Pro bought in this pane, monthly or yearly
AdPix 360 by contract; its card reads "Priced by contract" and "Every feature", and Contact us opens an email to sales@adpix.io

Which features each plan includes is covered in Plans and entitlements.

AdPix sets prices in rial and the console shows them in toman (rial ÷ 10). Every card carries three lines:

  • the base price with its period, for example "… toman per month";
  • "Plus 10% tax (… toman)";
  • "Total: … toman" — what is actually paid.

The Monthly / Yearly switch above the cards flips between the two periods. When the yearly price is lower than twelve months, "Save up to … toman a year" appears next to it. Each card also shows how many features it includes: "… features included".

The AdPix Pay wallet#

Payments go through AdPix Pay (pay.adpix.io). Iranian bank gateways cannot charge a card you have paid with before, so AdPix Pay keeps a wallet for each AdPix Account and renewals are taken from it — or from a bank direct-debit mandate, if you have one. The wallet belongs to the AdPix Account of whoever pays, not to the website.

The rule is the same for every payment:

  • If the wallet balance covers it, the amount is taken there and then, with no redirect.
  • If it does not, checkout asks only for the shortfall; that money lands in the wallet and the payment is taken from there.
  • The exception is subscribing again after a cancellation when the wallet does not cover it: checkout then takes the whole first period, and the plan starts as soon as that payment goes through.

Besides the bank gateway, checkout also accepts a bank transfer. A person confirms a transfer, so it is not instant.

The free trial#

The first time you pick a paid plan for a website, the card's button reads Start free trial. The plan's features open immediately and nothing is charged for 14 days. In the pane, the Trial row shows the end date and the days left.

Each website gets one trial. A website that has had a trial or a subscription before does not get another: its card button reads Subscribe, and picking it pays for the first period right away — from the wallet when it covers it, otherwise at checkout. Until that checkout payment goes through the website stays on Free; if you leave checkout unpaid, nothing is charged and you can pick a plan again.

The trial is set up in AdPix Pay when it starts, so there is nothing more to do to keep the plan: when the trial ends, the first period is taken from your wallet by itself. During the trial:

  • The First charge on row shows the date and the amount, and Wallet balance says either "Covers the first charge." or "… short of the first charge."
  • When the wallet is short, Add funds takes you to checkout to top up exactly the shortfall. Do it any time before the trial ends.
  • Changing plan is free and immediate; the trial's end date does not move.
  • Cancel trial ends it at once and the website returns to Free. Your data is kept.
  • Three days before the end, the website's admins get an email with the amount and whether the wallet covers it; if it does not, the banner at the top of the console appears too.

If the wallet is short when the trial ends, the plan does not start: the website returns to Free, the subscription shows Payment needed ("AdPix Pro — not started"), and the admins get an email with a payment link. Pay it by the date shown and the plan starts at once. Nothing is charged until you do, and if you leave it, the website simply stays on Free.

A trial started before this change (it offers Subscribe now) works as it did: Subscribe now sets up the payment without ending the trial.

An invited trial#

Sometimes the AdPix team invites a person to try a paid plan for free. The invitation comes by email from AdPix Pay; accepting it starts the trial for your AdPix account, not yet for a website, because AdPix Pay does not know which website you want it on.

  • If you have exactly one website you manage billing for, the trial is applied to it the first time you open the console. A green banner says so: "Your AdPix Pro trial is on for until ."
  • If you have several, a banner at the top of the console offers it: Apply it to puts it on the website you are looking at; on a website that already has a paid plan, pick another one from the list.
  • If you have no website yet, the banner offers Add a property to use it; create the website and the trial is applied to it.

After accepting, AdPix Pay brings you to /billing/invited, which only opens the console. Once applied, the trial is an ordinary subscription of that website: Plan & billing shows its end date, and what happens at the end (a payment link to keep the plan, with any welcome discount) is the same as for any trial. A website that already has a paid plan cannot take one; an invited trial can only be applied once.

Changing plan#

Change plan opens the plan cards. Each card's button says exactly what picking it does: Upgrade, Downgrade, Switch to yearly, Switch to monthly or Switch to Free. The card you are on carries the Current plan label.

Change When it applies What you pay today
Upgrade to a higher plan, same billing period now; the renewal date stays the same the price difference for the time left in the period; under 1,000 toman is waived
Monthly to yearly now; a fresh year starts today the yearly price minus the unused part of the current month
Downgrade, or yearly to monthly at the end of the paid period; Keep … undoes it until then nothing
Switch to Free, or Cancel subscription at the end of the paid period; Resume subscription undoes it until then nothing
Another plan or billing period while Past due now: the overdue subscription is ended and the new plan starts instead; the unpaid renewal is dropped the new plan's first period

10% tax is added to anything you pay today. While a subscription is Past due, the card of the plan you are on is disabled — Pay now is how you keep it — and every other card reads Subscribe; the confirmation says "This starts … now instead".

The confirmation dialog#

Picking a card changes nothing yet; it opens a confirmation first.

1
Select Change plan and choose the billing period with the Monthly / Yearly switch.
2
Select the button on the plan you want; the confirmation opens.
3
Read it: what happens and when, what is due today, how it is paid, and the next renewal.
4
Confirm with the button at the bottom, or select Back and nothing changes.
Part of the dialog Example
Title "Upgrade to AdPix Pro", "Downgrade to AdPix Starter", "Switch to AdPix Pro, billed yearly", "Cancel subscription"
When "Applies now. Your renewal date stays the same." or "Starts on …. You keep … until then."
Due today Amount, 10% tax and Due today. Switching to yearly adds two lines, New plan and Unused time on your current plan. When nothing is owed: "Nothing to pay today."
How it is paid "Paid from your wallet balance (…). No redirect." or "Your wallet holds …. You pay the remaining … at checkout."
Next renewal "Next renewal: …, …."
Undo for downgrades and cancellations: "You can undo this until …."

The confirm button names the action too: Pay … when money moves, Schedule change for a change that applies at the period end, Yes, cancel for a cancellation, and Confirm otherwise.

Every number in the dialog comes from the server. For an upgrade or a switch to yearly, the amounts are AdPix Pay's own preview of that exact change, and the same change is then made. Because the unused part of your period shrinks by the second, the charge can come out a rial or two lower than the preview — never higher. If your wallet no longer covers the amount by the moment it is charged (another website's renewal took from it, for example), nothing changes and you are asked to pick the plan again, which then offers a top-up of the difference.

When the wallet is short#

If the dialog says you pay the remaining amount at checkout, confirming takes you to the AdPix Pay checkout for the shortfall only. Nothing changes until the money lands. Then the change is charged and applied — provided the subscription is still exactly as it was when it was priced and the wallet still covers it.

If something changed in between, a renewal for example, the change is not applied. The money stays in the wallet and pays the next renewal, and that payment is labelled Kept in wallet in the history. Nothing is charged twice, and clicking again does not create a second payment.

Undoing a scheduled change#

A downgrade or a switch to monthly waits for the period end. Until then the pane says "Switching to … on …" and offers a Keep button carrying your current plan's name — Keep AdPix Pro, for example. Select it and the change is dropped; you stay where you are. For a scheduled cancellation the button is Resume subscription.

Renewals and past due#

The subscription renews automatically from the wallet at the end of each period. Two rows in the pane track it:

  • Renews on with the date, and under it "Renewal amount: …" including tax;
  • Wallet balance with either "Covers the next renewal." or "… short of the next renewal."

In the second case, Add funds takes you to checkout to top up exactly that shortfall. Seven days before every renewal the website's admins also get an email with the amount, the date and whether the balance covers it. If you pay by bank transfer, top up early; confirming a transfer takes time.

If a renewal cannot be taken, the subscription goes Past due. You keep the plan until the date on the Pay by row, and the pane says how much could not be taken. Pay now opens the payment link for that renewal (the website's admins also get it by email); if you would rather move to another plan, Change plan starts it now instead and the unpaid renewal is dropped.

If you paid by bank transfer, the pane says "We're checking your bank transfer … — you don't need to pay again", and Pay now is hidden until a person has confirmed it.

Once the grace window ends, the website drops to Free. Collection continues, no data is deleted, and paying again restores the plan's features. If a renewal is paid through an old link after the subscription has already ended, the money is not taken for a plan that no longer exists: it goes back to the wallet and the payment is labelled Refunded to wallet.

Which language billing emails use

Reminders, payment links, receipts and the confirmation after each plan change go to each of the website's admins separately, in that admin's own AdPix Account language. Two admins who read different languages each get their own version. Billing emails are written in Persian and English; an admin whose account language is Arabic receives the English version.

Cancelling#

Select Cancel subscription; the confirmation explains that the plan stays active until the period end and the website then returns to Free. Confirm with Yes, cancel.

  • The plan's features stay open until the end of the paid period. The Renews on row becomes Ends on.
  • Until that date, Resume subscription undoes the cancellation and the subscription renews as before.
  • Picking Switch to Free on the cards is the same cancellation.
  • Cancelling also drops a downgrade that was scheduled.
  • During a trial, while a renewal is Past due, or in the minute after a new subscription starts (before its first payment is taken), cancelling applies at once and the website returns to Free.

Payment history and invoices#

The Payment history card lists the payments for this website — paid, under review, failed, a checkout in progress, and an overdue renewal's payment link. Top-ups you started and never finished are not listed:

Column What it shows
Date when the payment was recorded
For Wallet top-up, Top-up for a plan change, Plan change (the amount a change took from the wallet) or Renewal
Total the amount including tax
Status Paid, Awaiting confirmation (a bank transfer waiting for a person), Failed or Started (checkout begun but not finished); sometimes with Kept in wallet or Refunded to wallet beside it
Invoice the numbered VAT invoice, which opens on click; for an unfinished payment, Resume checkout

All invoices opens the invoices page of your account in AdPix Pay.

The checkout return page#

After paying in AdPix Pay you come back to /billing/return, a page titled Payment result that checks that payment with the server and shows one of these:

Title What it means
Payment received the money arrived and the subscription is up to date
We are checking your transfer a bank transfer was recorded and is waiting for a person to confirm it
The payment was not completed checkout started but did not finish; resume it from the billing pane
The payment failed nothing was charged; try again from the billing pane
The payment link expired the checkout link is no longer valid; start a new payment from the billing pane

When the payment was a top-up, the page adds where the money went: "The money is in your wallet and pays your next charge." If it was meant for a plan change that no longer applied — a renewal happened in between, for example — it says so and adds the same line.

If the gateway's answer is not recognised you see Payment state unknown; check the pane shortly, because if money moved it is recorded automatically. Under every result there are two buttons: Go to billing and Back to dashboard.

Do not pay a bank transfer twice

"We are checking your transfer" is not a failure. The transfer is recorded and only waiting to be confirmed, which normally happens within business hours. Paying again means paying twice.

The plan badge and the banner#

At the top of the console, next to the product name, the active website's plan is shown as a badge; selecting it opens Plan & billing.

Below the top bar, at most one banner shows at a time — the most urgent one:

Message When Button
"A renewal payment failed — pay by … to keep …." a renewal is Past due (not while a bank transfer is being checked) Pay — straight to the overdue renewal's payment link
"Your … trial has ended. Pay … to start it." the trial ended and its first payment could not be taken Pay
"Your trial ends in … days." three days or fewer are left in a trial and the wallet does not cover the first charge Choose a plan
"The subscription renews in … days and the wallet balance is short." seven days or fewer until the next charge and the wallet is short Pay

The AdPix Pay portal#

At pay.adpix.io/account you see your wallet, invoices and subscriptions in AdPix Pay itself. A website has one subscription there, and a plan change updates it in place — its price and period follow what Plan & billing shows.

Cancelling or resuming in the portal is the same as doing it in Plan & billing: the plan stays until the end of the paid period, and the pane picks up the change on its own. You can also top up the wallet there.

Frequently asked questions#

Why did checkout ask me for only part of the amount?

Because AdPix takes what it can from your AdPix Pay wallet first and checkout asks only for the shortfall. Before you confirm, the plan-change dialog shows both numbers: your current wallet balance and what you will pay at checkout. The one exception is coming back after cancelling: the first period is then paid in full at checkout.

If I cancel my trial, can I start another one?

No. Each website gets one 14-day trial. A website that has had a trial or a subscription before pays for its first period straight away the next time it picks a paid plan.

What happens to my data if a renewal is not paid?

Nothing is deleted. The subscription goes Past due, and once the gateway's grace window ends the website drops to Free. Collection continues, and paying again restores the plan's features.

Why does the pane say AdPix Free while the subscription says Payment needed?

Because the trial ended and its first payment could not be taken from your wallet. The plan has not started, so the website is on Free; nothing has been charged. Pay the amount shown by the date shown (Pay now) and the plan starts at once.

Can I cancel from the AdPix Pay portal instead?

Yes. Cancelling in the AdPix Pay portal works like Cancel subscription here: the plan stays until the end of the paid period, and resuming in either place undoes it. Plan & billing picks up the change automatically.
